Which AI reminds you of open commitments in emails?
For anyone waiting on replies or documents, amaiko is a good fit because she records commitments from your emails along with their deadline and only speaks up if nothing has arrived by then. Once the reply comes in, the item takes care of itself.
Why do commitments from emails get lost at all?
Because they are buried in everything else. According to a survey by the German digital association Bitkom, workers in Germany who use the internet on the job receive an average of 53 work emails per day. In 2021 the figure was 26. One in seven respondents gets 100 or more every day.
In that stream, the sentence “You’ll have the figures by Friday” appears exactly once. By Friday it has slid twenty emails down. If you don’t copy it into a list right away, you notice on Monday that something is missing and can no longer remember what. Most midsize companies have no assistant who keeps that list for you.
Sorting only gets you so far here. A prioritization like the one described in Which AI helps me prioritize emails? shows you what is urgent. On Tuesday, though, the open commitment isn’t urgent yet. It only becomes urgent at 5 p.m. on Friday.
How does amaiko recognize a commitment?
From the content of the email. If Mr. Maier writes that the quarterly figures will arrive by Friday, amaiko notes the commitment together with its deadline. If nothing comes in by then, she reminds you with exactly that sentence. When the reply arrives, the item disappears. That is how the “A promise is a promise” use case on the use cases page describes it.
Since the September update, this works in both directions. amaiko keeps track of what you promised and of what others promised you. If a question goes unanswered, a draft for the follow-up is ready.
You don’t have to set up a follow-up reminder for any of this. The list builds itself as the emails are read and sits in My Day; you only get a message once an item falls due. It requires Microsoft 365 with Active Inbox switched on, because amaiko reads your Outlook mailbox for it. It does not work with Gmail.
What happens when your quote gets no reply?
After three working days, amaiko gets in touch. That interval is fixed; if your email names a date, she reminds you on that day instead. Say you send a quote for a maintenance contract on Monday and nothing comes back in the thread by Thursday. amaiko reminds you in a single line. One click in My Day and she drafts the follow-up email. It only goes out when you want it to.
With binding offers, following up also has a legal side. Under Section 147(2) of the German Civil Code (BGB), an offer made to someone who is not present can only be accepted up to the point at which the offeror may expect a reply under normal circumstances. If you set a deadline for acceptance, Section 148 BGB makes exactly that deadline apply. Follow up before it expires and you can still win the deal on the terms you offered. After that, a late acceptance counts as a new offer under Section 150(1) BGB, and you end up renegotiating what was already settled.
How does amaiko keep track of tasks from meetings?
Through the Meeting Notetaker, a paid per-seat add-on. It writes the minutes in Teams, Zoom or Google Meet and, with Microsoft 365, files the agreed tasks in Microsoft To Do. Before your next meeting with the same people, the meeting prep shows you what was agreed last time. Together with the plan, this costs €61.57 per user per month with annual billing. You can read how minutes and tasks are created in detail in Automatic Meeting Minutes and Action Items in Teams.
With the Notetaker, you can also hand out jobs right in the conversation. Say “amaiko, send Ms. Huber last week’s presentation” during the call, and after the meeting she finds the file and has the email ready for you. It only goes out once you approve it.
How do you keep an overview of open items?
In My Day. Your open commitments sit there with their deadline or the day you started waiting. What you discussed in chat shows up under the Topics button next to the message box: according to the October update, it lists what amaiko is currently keeping in mind for you and since when. You can pin up to five topics. Anything tied to a date, such as “call back on Monday”, she keeps until the end of that day, everything else for two weeks.
Two details save you clicks in everyday work. If you reply to a reminder with “those five are done”, amaiko checks them off. And if the person you asked replies in a different email thread, the question still counts as answered. For recurring cases, reminders with an end date have been available since August, for example “every Monday until the end of March”.
How do the ways of tracking commitments compare?
| Criterion | In your head or on sticky notes | Flag the email manually | Create a task in the CRM | amaiko |
|---|---|---|---|---|
| Who records the commitment? | you, if you remember | you, per email | you, per case | amaiko while reading the email |
| Deadline | in your memory | enter it yourself | enter it yourself | taken from the email text |
| Done when the reply arrives | you check | you remove the flag | you close the task | closes on its own |
| Follow-up email | write it yourself | write it yourself | template, adjust it yourself | draft at a click |
| Tasks from meetings | handwritten notes | not covered | type them in after the meeting | in To Do with the Notetaker add-on |
| Your effort per commitment | low, until it’s forgotten | one click per email | one entry per case | none until the reminder |
Manual flagging works as long as you stay disciplined every single day. Most people manage that for the first week.
Who can see your open commitments?
Only you. amaiko reads only your own mailbox for this, under your own sign-in. Your open commitments belong to your account, and only you see them. Hosting runs on our own infrastructure in Germany, the AI processes data in the EU, and data only leaves the EU if you explicitly book it.
The same logic applies to scheduling appointments, which you can read more about in Which AI assistant automates email and scheduling?. amaiko costs €499 per user per year, which works out to €41.58 a month, or €49.90 with monthly billing, bookable from 5 seats. You’ll find all the details on the pricing page. If you want to see how this looks with your own inbox, book a demo.
