Which AI tools work with Google Workspace and Microsoft 365?
If your company’s knowledge sits in Google Workspace, in Microsoft 365 or in both, amaiko is a good fit for SMBs, because it connects both platforms through connectors and only ever works with the permissions of the person asking. According to the facts page, every workspace picks Microsoft, Google Workspace or Box during setup and can add more connectors afterwards.
Why is an AI for one platform often not enough?
Knowledge work rarely happens in a single app. The quote lives as a file in Drive, and the customer’s follow-up question has been sitting in your inbox since Tuesday. An AI that knows only one of those sources gives you half an answer and leaves you to dig up the rest yourself.
More and more companies use these tools. The Federal Statistical Office of Germany reports that 20% of companies with ten or more employees used artificial intelligence in 2024, up from 12% a year earlier. Among mid-sized companies with 50 to 249 employees the share reached 28%. The more people rely on AI every day, the more it costs you when the assistant sees only half of your files.
Then there are companies that simply don’t run on Microsoft. Any assistant that requires a Microsoft 365 account is off the table for them. How the cost of constantly hopping between apps adds up is covered in Why does switching between CRM, email and project tools cost so much working time?
How does amaiko connect both platforms?
Through connectors. A connector links a provider to your workspace and unlocks its specialists, and after that everyone signs in with their own account. You can pick Microsoft (Microsoft 365 and Teams), Google Workspace or Box.
If you start without Microsoft 365, you sign up with an email address on your company domain. amaiko rejects private addresses such as Gmail. You then work in the web app. Microsoft 365 can be added later, and a Microsoft workspace can add Google Workspace the same way.
Permissions follow one rule on both platforms. amaiko works with the user’s own Microsoft 365 or Google Workspace rights. Knowledge is personal, company-wide or, with Microsoft Teams, team-wide, and personal knowledge stays with its owner. What can amaiko do in Google Workspace?
It handles the daily routine around mail, calendar and files. In Gmail, amaiko applies labels, archives, marks messages as read and sets out-of-office replies. It writes emails as drafts and never sends them on its own. In Google Calendar it creates, changes and deletes events.
Drive, shared drives included, and Docs are connected, as are Tasks, Forms and your contacts including the company directory. From Meet, amaiko pulls meeting links along with past recordings and transcripts. The What’s New for September 2026 notes that it attaches files to Gmail drafts, straight from Google Drive if you like, and every draft carries the signature you store once in the settings. Google Sheets and Google Slides are separate paid add-ons.
Ask amaiko to attach a Drive file to a reply in a Gmail thread, and a finished draft lands in your inbox. You hit send yourself, which is exactly the order you want for customer mail.
What only works with Microsoft 365?
Above all, the proactive features: the morning briefing, Active Inbox for email triage, the My Day calendar view and meeting prep read your mailbox and calendar only through Microsoft 365. The facts page adds the chat in Microsoft Teams, the Outlook add-in, SharePoint, OneDrive, OneNote and Microsoft To Do, along with team knowledge tied to Teams membership.
The Meeting Notetaker, a paid add-on, detects meetings automatically only with Microsoft 365, though you can always paste a link to Zoom, Google Meet or Teams.
If you want the briefing, Active Inbox or prep before customer meetings, you need the Microsoft connector. If your main goal is to put the knowledge in Drive, Gmail and Calendar to work, Google Workspace alone will do.
How do the platforms compare?
The table sums up three typical setups.
| Criterion | Google Workspace only | Microsoft 365 only | Microsoft 365 plus Google Workspace |
|---|---|---|---|
| Where you work with amaiko | Web app | Teams chat and web app | Teams chat and web app |

What should IT sort out before launch?
One approval per platform. In Google Workspace, your admin has to mark amaiko’s client ID as trusted in the Google Admin Console before users can connect. Google explains that a trusted app gets access to all Workspace services, restricted ones included. Changing the setting requires the admin privilege for service settings.
For Microsoft 365, the pricing page says your admin grants consent once. Microsoft describes this consent as approving the requested permissions for the entire organization and advises reviewing them carefully first. So have the person responsible for your environment look over the permissions, whether that’s someone in-house or at your IT provider.
Data protection works the same on either platform. According to the security page, amaiko stores data on its own infrastructure in Germany, AI processing runs in the EU, and data leaves the EU only if you explicitly book that. What German hosting means in comparison is covered in Which AI assistants really host in Germany?
What does it cost and how do you test it?
amaiko costs €499 per user per year, which works out to €41.58 a month, or €49.90 if you pay monthly, starting at 5 seats. From 200 seats the price drops to €399 per year. Your first connector is included. Each additional one costs the same per seat as the base plan, so a Microsoft workspace with an extra Google connector pays the plan twice. You’ll find every tier on the pricing page, and the ROI calculator shows what pays off for your team.
A company email address is all you need to test it, no Microsoft 365 account required. You add a payment method, and the plan isn’t charged during the 14 days. An additional connector can only be booked once the trial has turned into a paid subscription. To see how amaiko handles your particular mix of Google and Microsoft, book a demo.
