Can I check my Personio leave balance in Teams?

Yes: with amaiko and the Personio specialist you check your remaining leave right in the Teams chat and submit your leave request there too, without opening Personio or emailing HR. Why do so many leave questions end up with HR?

Because the answer is different for everyone. Take Germany: the German Federal Leave Act (BUrlG) sets the statutory minimum at 24 working days a year, based on a six-day week. Collective agreements, employment contracts, part-time models and days carried over from last year all come on top. Nobody knows their personal balance by heart.

Carry-over makes it worse. Under Section 7(3) BUrlG, leave carried into the new year has to be granted and taken within its first three months. So every February the inbox fills with emails asking what is still open until the end of March.

Each of these questions forces two people to switch. The employee leaves Teams to hunt for the login or write an email, and the HR colleague opens Personio to answer. What does HR still have to handle on remaining leave?

In Germany, the reminder. Since its ruling of 19 February 2019 (9 AZR 541/15), the German Federal Labour Court (Bundesarbeitsgericht, BAG) holds that leave generally only lapses if the employer has first told the employee about their specific entitlement and the forfeiture deadlines. That means asking the employee to take the leave and warning them clearly and in good time that it will otherwise lapse. The court was implementing the European Court of Justice ruling in case C-684/16 of 6 November 2018, which interprets EU working-time law and therefore reaches beyond Germany.

The case itself shows the sums at stake. After his employment ended, a scientist claimed payment in lieu of 51 days of leave from two years, €11,979.26 gross. He had never applied for that leave.

A chat answer does not replace this reminder. Employees who can check their own balance are better informed, yet asking them to take their leave and warning them about forfeiture remains the employer’s job, and without it German leave generally does not lapse. The hours HR saves on mailing out individual balances are best spent on exactly these reminders.

What does amaiko answer with the Personio specialist?

The Personio specialist reads your leave balance, your absences and your employee profile with role, department and manager. You type “How many vacation days do I have left?” into the Teams chat and get your remaining leave plus the vacation days you have already taken this year.

amaiko shows your absences for any period you ask about, approved or still pending, vacation and sick days alike. “Show me my absences this quarter” is all it takes. To submit a request, you name the dates, for example “Request leave from 1 to 5 August”. amaiko creates the request in Personio, and it goes through your company’s normal approval process.

Who sees which HR data?

Everyone sees their own and nothing more. amaiko maps every request to your own Personio record via your email address, and none of the specialist’s tools accepts another person or reaches the directory or the team calendar. So it won’t answer a question like “Who in sales is on vacation next week?”, and for HR data that is exactly the right boundary.

amaiko draws that boundary itself: an admin stores the Personio access once for the whole company, and amaiko limits every query to the user’s own record. If your German company has a works council (Betriebsrat), clear the rollout with it first. Section 87(1) No. 6 of the Works Constitution Act (BetrVG) gives it a say in introducing and using technical systems designed to monitor employees’ behaviour or performance.
