Outlook AI Assistants Compared 2026

amaiko sorts your Outlook inbox through your Microsoft account, using the permissions your account already holds, while you keep working in Outlook and Teams. Most tools recommended for Outlook triage work differently. They are standalone mail clients, services bolted onto the mailbox, or filters on the mail server, and one of the best known of them does not support Microsoft 365 at all, according to its own documentation. This article sorts seven tools by where they run and who reads your email along the way.

What does “right inside Outlook” mean for an AI assistant?

Four different architectures hide behind that phrase, and they matter more than any feature list.

An assistant in Outlook and Teams works where you already are and draws its permissions from your account through Entra ID. amaiko and Microsoft 365 Copilot both work this way; Copilot computes in Microsoft’s cloud, amaiko on its own infrastructure in Germany. A mailbox service connects from outside, usually over OAuth, reads along and drops drafts into your folders; Fyxer does that, and its Teams app answers when someone @-mentions it. A standalone client replaces Outlook on screen, the way Superhuman and Missive do. A filter service hooks into the mail server and moves messages into folders you still see in Outlook, which is how SaneBox operates.

For an IT review, what matters is who grants the access. Every service that connects through Microsoft sign-in, amaiko included, shows up in Entra ID as an enterprise application, along with its permissions. amaiko is approved through admin consent for the whole tenant; whether users may connect other services themselves is governed by your user consent setting.

Which seven tools are in play for Outlook triage?

ToolArchitectureMicrosoft 365List price per user per month
amaikoassistant in Teams and Outlookyes, no Copilot license needed41.58 € (annual)
Microsoft 365 Copilot Businesstenant add-onyes, base license required18.20 € (annual)
Fyxermailbox service over OAuth, Teams app on @-mentionyes37 to 64 US dollars (annual, metered in credits)
Superhumanstandalone mail clientyesfrom 25 US dollars (annual)
Missivestandalone client for team inboxesyes14 to 36 US dollars (annual)
SaneBoxfilter service on the mail serveryesfrom 5.42 US dollars (annual, one account)
Shortwavestandalone mail clientnon/a

The last row earns a sentence of its own, because Shortwave keeps turning up on Outlook recommendation lists. The vendor’s documentation lists Microsoft 365 and Exchange as unsupported and allows Outlook.com only through forwarding. If you run a Microsoft 365 tenant, the tool is off the table.

Where does your email get processed?

With amaiko the data sits in Germany and all AI processing happens inside the EU. That is an architecture decision, so nobody flips it by accident.

Microsoft 365 Copilot falls under the EU Data Boundary, and on top of that comes Flex Routing. For new tenants in the EU and EFTA the feature has been on by default since 25 March 2026, which lets model processing move to the US, Canada or Australia under peak load. What that means for a GDPR assessment is covered in Is Copilot GDPR-compliant in 2026?

SaneBox states in its security notes that messages never leave your mail server and that only headers get evaluated. Optional features fetch the message body without storing it. Fyxer says in its security notes that it drafts email and never sends on its own.

With Superhuman and Missive you push the question onto a different level, because your team then works in the vendor’s client and leaves Outlook behind. For a works council that is a separate procedure, and it takes longer than picking the software.

What does triage cost per user per month?

The prices are in the table. amaiko costs 41.58 € per user per month billed annually, 499 € a year, with unlimited tokens. Email prioritization through Active Inbox is included, along with the work in Teams, SharePoint, OneDrive and Word. From 200 seats the price is 33.25 € billed annually.

Copilot Business costs 18.20 € billed annually for up to 300 users, on top of an eligible Microsoft 365 plan from Business Basic up. The full side-by-side sits in What does amaiko cost per user in everyday Microsoft 365?

The four outside tools bill in US dollars and are built around the mailbox, not around Teams chats and documents. If you need an assistant for those too, you may end up paying twice.

Which questions do you settle before you choose?

Four points decide it, and none of them appears on a feature list. Does an admin approve access for the whole tenant, or does every user connect their own mailbox. Does your team keep working in Outlook or switch clients. Does the tool cover email only or Teams and documents as well. And where does the computation happen when load spikes.

If you want to walk through the answers for your own tenant, book a demo and we will look at your real license situation instead of a sample scenario. For how prioritization feels day to day, read Which AI helps me prioritize email?, and what amaiko does with your data is on the security page.

Frequently asked questions (FAQ)

Which AI assistants work directly in Outlook and Teams?

amaiko and Microsoft 365 Copilot. You use both in Outlook and Teams, with permissions from Entra ID; Copilot computes in Microsoft’s cloud, amaiko on its own infrastructure in Germany. Fyxer sorts and drafts in the mailbox from outside and answers in Teams when someone @-mentions it. SaneBox filters in the background, while Superhuman and Missive replace Outlook with their own client. Shortwave does not support Microsoft 365, according to its own documentation.

Does an Outlook AI assistant need access to the whole mailbox?

For triage, yes. Every outside service, amaiko included, needs a permission on the mailbox; if it connects through Microsoft sign-in, Entra ID shows its scope. amaiko triages with delegated permissions, meaning only what your account can already do, and is approved through admin consent for the whole tenant.

What does amaiko cost for email triage?

41.58 € per user per month billed annually, or 49.90 € billed monthly. Active Inbox for email prioritization is included, along with the work in Teams, SharePoint and Word. From 200 seats it is 33.25 € billed annually.

Is Microsoft 365 Copilot enough for inbox triage?

Copilot summarizes mail and drafts replies inside Outlook. For new Microsoft 365 tenants in the EU and EFTA, Flex Routing has been on by default since 25 March 2026, so model processing can happen outside the EU under peak load. Check that setting before you roll out.

Does Shortwave work with Outlook?

No. Shortwave’s documentation lists Microsoft 365 and Exchange as unsupported and says Outlook.com works only through forwarding. The service runs on Gmail and Google Workspace.

What separates a filter service like SaneBox from an AI assistant?

A filter service sorts incoming messages into folders and learns from your behavior as it goes. SaneBox states that it evaluates only headers for this. An assistant answers questions about content, writes drafts and reaches documents and conversations outside the mailbox.

Can a tool send email on my behalf?

Fyxer says it never sends an email on your behalf and writes drafts for you to review. With every tool, amaiko included, check two things: the permission you grant at sign-in, and whether the product sends on its own. Settle this question before you choose, well ahead of any pilot.
